For NDIS providers

NDIS software that keeps the records for you.

Rostering, shift notes, timesheets and NDIS invoicing in one app, built around participant plans, the NDIS price limits and worker screening. Made in Australia.

Shift notes written against each participant’s goals

Upload a participant’s NDIS plan and TakeCareOS lists their goals. As a support worker writes or speaks a shift note, it’s checked as it’s written: a vague entry, or a note that could say which goal the support worked towards, is pointed out before the shift ends.

When a note mentions something that needs follow-up, like a fall, the coordinator hears about it with the next step ready. See how notes are checked.

  • Goals pulled from the participant’s uploaded NDIS plan
  • Notes spoken or typed, then tidied
  • Vague notes and missing goal links pointed out as they’re written
  • Progress reports drafted from the notes, goal by goal

Every invoice line priced from the NDIS Support Catalogue

Support items and price limits come from the NDIS Support Catalogue. The shift, the timesheet and the invoice carry the same support item, hours and rate, so nothing is re-typed between them.

Each participant’s funding is set per support: NDIA-managed lines are exported for the bulk payment request, plan-managed invoices go to the plan manager, and self-managed invoices go to the participant. Most participants are plan-managed (69.0% nationally at 30 June 2026), so invoices that a plan manager can process first time matter. [1] Invoices sync to Xero and MYOB.

NDIS claiming in 2026

24 Sep 2026
Price limits now come from the NDIS pricing schedule 2026–27, set by a ministerial pricing determination. [2]
2 years
Claims older than two years have been rejected since 3 October 2025. [3]
90 days
Claims made more than 90 days after a support may be held for extra checks (from 15 October 2026), and a 90-day claiming limit is legislated from December 2026. [4] [5]

Worker screening and qualifications, tracked before they lapse

Each worker’s screening check, first aid and other qualifications sit on their profile with an expiry date. Needs attention lists what expires soonest, and the worker is asked to upload the new certificate straight from their phone.

Registered providers must make sure workers in risk-assessed roles hold a current check. [6]

NDIS Worker Screening Check

5 years
How long a check lasts. It’s recognised nationally and recorded in the NDIS Worker Screening Database. [6]
1 database
Employers see each worker’s status in the national NDIS Worker Screening Database, using the worker’s screening ID. [6]

Records ready when the auditor asks

NDIS audits look for evidence that supports were delivered as agreed. Registered providers face a verification audit (a desktop review, for lower-risk supports) or a certification audit with an on-site stage, and certified providers have a mid-term audit 18 months into registration. [7] [8]

The NDIA expects records such as support logs, rosters, case notes and service agreements to show the participant, date, hours and support type for every claim. [9] Most reportable incidents must be notified to the NDIS Commission within 24 hours. [10]

Our guide to what NDIS auditors check goes further.

  • Shift notes, incident reports and care plans kept with the participant
  • Care plans and incident reports versioned
  • Every change kept in the audit log
  • Hosted in Sydney, exported for you on request

NDIS questions

Something else? Ask us in the demo.

01

Does TakeCareOS use the current NDIS Pricing Arrangements?

Yes. Support items and price limits come from the NDIS Support Catalogue, and each invoice line carries the support item, hours and rate from the shift and timesheet.

02

Can we bill NDIA-managed, plan-managed and self-managed participants?

Yes. Each participant has a management type, and invoices are split by who pays: NDIA-managed lines are exported for the bulk payment request, plan-managed invoices go to the plan manager, and self-managed invoices go to the participant.

03

How does TakeCareOS help with NDIS audits?

Shift notes, incident reports, care plans and worker qualifications live with the participant and the worker, every change is kept in the audit log, and Needs attention shows expiring checks before they lapse.

04

Can we move across from ShiftCare or another system?

Yes. We have imported providers from VisualCare, Brevity, ShiftCare and Care Diary, and from spreadsheets. We move the data for you.
