Made in Australia for NDIS and aged care providers
Less admin.
More time for care.
Rostering, shift notes, timesheets and invoices in one place, with an AI co-pilot that asks before it changes anything.
Your software works.
It’s just slow.
Six signs an agency has outgrown its software, and what TakeCareOS does instead.
“Every timesheet variance needs someone to check it.”
On-time shifts approve themselves.
You only see the exceptions, each with the reason and the pay.
“A last-minute shift change still starts a group chat.”
Atlas finds who can cover.
It checks who is free and who has worked with the participant, then asks you before it books.
“Notes are captured, but nobody reviews them.”
Notes can be checked as they’re written.
When a note mentions something that needs follow-up, like a fall, you hear about it with the next step ready.
“Credential expiries hide in a calendar you have to check.”
Needs attention tells you first.
And the worker is asked to upload the new certificate, straight from their phone.
“Someone’s job is moving data between modules.”
One flow. Nothing re-typed.
Shift to timesheet to invoice to Xero, carrying the same hours and rates the whole way.
“A simple question means opening five dashboards.”
Ask Atlas in plain words.
Typed or spoken. Answers come from your live rosters and timesheets, limited to what you’re allowed to see.
You do four things.
We do the rest.
Check it
side by side.
We count every record type in your old system and in TakeCareOS. You see the two side by side before anything changes for your team.
You keep running
while we do it.
Your current system stays live until Day 7. Nothing is switched off, and no staff are invited, until you choose.
heavy lifting.
We map and import your records, then check the counts with you.
keep.
Ask any time and we’ll export your shifts, documents, notes and history.
Atlas does the work.
You stay in charge.
Tell Atlas what you need, out loud or typed. It checks rosters, notes and availability, then shows you each change it wants to make.

What stands out
Less admin,
for real.
- 01
Atlas asks first
Ask in plain English to change a roster, fix a timesheet or pull a report. Atlas shows each change, with who, when, hours and pay, and nothing is saved until you tap Allow.
- 02
Notes that get finished
Templates with required sections, and a shift can’t be clocked out until its note is written. AI turns quick entries into a note linked to the participant’s NDIS goals, and can check each one against your standards.
- 03
Clock-ins you can trust
Each clock-in is checked against the shift’s address. If GPS fails, the shift still goes ahead and the clock-in is flagged for review.
- 04
Timesheets from real hours
Built from clock-ins, kilometres and expenses, approved in one queue, and synced to Xero Payroll or MYOB.
- 05
Invoices from delivered shifts
NDIS invoices at the catalogue price for the participant’s region, split by NDIA, plan- and self-managed, synced to Xero or MYOB, with an NDIA bulk upload file.
- 06
One list of what needs you
Needs attention puts it in one place: shifts to resolve, shifts with no worker, clock-ins away from the address, expiring checks, overdue medication and travel not billed.
- 07
Compliance built in
Qualifications tracked with expiry reminders, shifts that can’t go to a worker missing a required one, every change in the audit log, and registers you can export for an audit.
- 08
Paperwork read for you
Upload an NDIS plan and its goals are pulled into the participant’s profile. Upload a PDF form and it becomes a digital form your workers fill in on their phone.

01Who is TakeCareOS for?
Home care and disability services agencies. In Australia it is built around the NDIS: support items and the NDIS Price Guide, participant plans, and worker screening and qualifications.
02How long does switching take?
About a week. Day 1 is an onboarding call, on days 2 to 5 we move your data, and on Day 7 you’re live. You keep running while we do it.
03What if Atlas gets something wrong?
Atlas shows you each change before it makes it: who, when, hours and pay. Nothing is saved until someone taps Allow, Atlas only sees what that person is allowed to see, and every action is kept in the audit log.
04Does it work with Xero?
Yes. Invoices sync to Xero, and MYOB is supported too. The shift, timesheet and invoice carry the same hours and rates, so nothing is re-typed.
05Where is our data kept?
In Australia. TakeCareOS and its database are hosted in Sydney, every change is kept in the audit log, and your data stays yours: ask and we’ll export it for you. AI features such as Atlas and note summaries are processed by Anthropic and Google.
06How much does it cost?
A$20 per active staff member, per month, the same for office staff and support workers, with every part of TakeCareOS included. Try it free for 14 days, no card needed, and if it isn’t right for you in your first 3 months we refund your subscription fees.
